Booking Terms and Conditions 

    Bejowan Barns Self Catering Holiday Accommodation                                

 

Please read these terms and conditions carefully before booking your accommodation.  When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed in writing via a letter of confirmation sent to you by post or email.  Please ensure that you take out adequate travel and cancellation insurance in accordance with our cancellation policy

By submitting a booking you warrant and confirm to us that you have read these Conditions and agree to comply with them.

The Contract

1a. The contract entered into is between (owner) and the person completing the booking form (the hirer).

1b. The contract is not effective until the required payment has been received and confirmation sent from the owner to the hirer.

Bookings

2a. Bookings cannot be accepted by persons under the age of 18 years or parties where the members are all male/female (except families or supervised groups)

2b. The number of persons occupying a property must not exceed the maximum stated in the current property description, and must be declared at the time of booking.

2c. The person booking the cottage will be responsible for all persons included on the form and should ensure that they are aware of the booking conditions.

2d. The person booking the cottage will be responsible for all payments due.

2e. The owner reserves the right to decline any booking or refuse to hand over a key to any person who has not complied with the booking conditions.

Reservations, Deposit & Payments

A deposit payment for all properties is required at the time of booking, once a booking request has been confirmed by the owner.  Payment can be made by Debit Card, Visa/MasterCard (credit card), Bank Transfer or cheque.

3a  Confirmed bookings require receipt of deposit or full payment within 7 days or the booking will lapse

3c  Deposit required to be 25% of the cost of the booking.

3d  Pay the balance of the cost six weeks before the holiday is due to start.

3e. If the balance is not received within the time specified the owner reserves the right to cancel the booking and retain the deposit.

3f.  Bookings made within six weeks of the start of the holiday require payment in full at the time of booking.

Cancellations

4a. Once a booking is confirmed the hirer is responsible for the total cost of the holiday.

4b. In the event of a cancellation by the hirer, the owner will endeavour to re-let the property and if successful may refund any monies paid less the deposit which is non-returnable.

4c. We suggest you arrange cancellation insurance in order that all persons are covered.

Booking Alterations

5a. Any change in holiday dates will be subjected to the agreement of the owner.

5b. Any request by the hirer for transfer of booking to another property may be treated as a cancellation of the original reservation.

5c. If for reasons beyond the control, the owner has to cancel or alter arrangements made for the hirer they will make every effort to offer an alternative property if one is available.

5d. If the hirer does not accept the alternative offered the owner will return to the hirer any monies paid, whereupon the owner’s liability will cease.

Damage, Loss and Nuisance

6a  The  hirer agrees:

Not to cause nuisance or annoyance to occupants of nearby property.

To allow reasonable access to the property by the owner if it is deemed necessary.

To allow access to the property immediately in emergency situations.

The hirer is responsible for leaving the accommodation in good order.

Although we do a ‘final clean’ after your departure, we expect the accommodation to be left in a reasonably clean and tidy state as it was found on arrival.  We would appreciate being told before your departure if there are any breakages.

6b. If in the opinion of the owner any person who is not suitable to continue their occupation of the property because of unreasonable behaviour, damage or nuisance to other parties, the contract may be discharged and the owner may repossess the property immediately.  The hirer will remain liable for whole cost of hire and no refund shall be due.

Security Deposit

7a. The Owner will hold a security deposit of £150, this will be pre-authorised to a debit or credit card,one week before arrival or Bank Transfer upon arrival. The pre-authorisation will be released once the owner has made a full inspection of the property at the end of the rental period.

7b. The Hirer will be held responsible for any damage or breakages to the property and in the event of such occurrence, the incident must be reported to the Owner.  Where any damage or breakage has occured and been left unreported, this will be informed to the Hirer and any losses or monies owed to the Owner will be taken from the security deposit, if the security deposit is insufficient the Owner shall be entitled to make an additional charge to the Hirer.

7c Although we do a ‘final clean’ after your departure, we expect the accommodation to be left in a reasonably clean and tidy state as it was found on arrival.  If any excessive cleaning needs to be carried out following your departure we will use your security deposit to recover any costs incurred (£15 per hour).

7d The Hirer is not permitted to move any furniture or equipment without prior consent from the Owner.  In the event of such permission being granted, it is the Hirer’s responsibility to return the same to its orginal position before checkout.  Under no circumstances must any furniture or equipment for use inside the property be moved outside.

Occupancy

8a Occupancy shall be from 4pm on the day of arrival (we would appreciate it if you would not arrive before this time) and must be vacated by 10am on the day of departure. 

Pets

8a. Pets will be allowed only in Little Owl and Barn Owl and Sea Owl and need to be declared when booking. A charge of £20 per dog will be added at time of booking (max 2 dogs per cottage)

8b. Pets are not allowed to be left unattended in the cottages.

8c. Pets are not allowed on beds or furniture, and must be kept under control at all times.

8d. All dog mess is the responsibility of the owner, and must be cleaned up immediately, and disposed of appropriately.

Descriptions

9a. Whilst the owner makes every effort to ensure that the accuracy of property descriptions, they are inevitably subjective and are for guidance only.  If there are any points of particular importance please contact the owner to clarify information.

9b. Whilst the owner has taken all responsible steps to ensure that the information contained on the website and advertisements are accurate the owner reserves the right to alter, substitute or withdraw any service, facilities or amenity.

Liability

10a. The owner cannot accept responsibility for any material loss, personal injury, damage, additional expense or inconvenience directly or indirectly caused by or arising out of the property and its, plumbing, gas, electrical or otherwise, exceptional weather or other matters over which we have no control.

10b. No responsibility is accepted for loss or damage of property, vehicles or vehicle contents belonging to the hirer or any member of the party during their occupancy.

Complaints

11a  If in the opinion of the hirer there are grounds for complaint, it is the duty of the hirer to take it up with the owner immediately and in any event before departure to allow remedial action to be taken. It is specifically agreed that failure by the hirer to notify the owner of any complaint in accordance with the timescale set out above will entitle the owner to refuse the complaint, irrespective of its merits.
